1. Data Controller

The data controller is the operator of the ANOTE application (contact: anote-appka@outlook.com).

2. What Data We Process

2.1 Contact Form

Name, email address, optionally phone number — for the purpose of handling your inquiry and providing access to the service.

2.2 Audio Recordings

In local mode, audio recordings never leave your device. Speech-to-text transcription runs locally on your phone using the Whisper model. In cloud mode, audio is sent for processing (gpt-4o-transcribe) and then deleted.

2.3 Text Transcripts

Anonymized text transcript is sent to Azure OpenAI server (West Europe region, EU) exclusively for generating a structured medical report. Data is not stored on servers and is not used for model training.

3. Legal Basis

We process personal data based on your consent (Art. 6(1)(a) GDPR) and legitimate interest in providing the service (Art. 6(1)(f) GDPR).

4. Data Transfers

Text data for report generation is processed exclusively within the EU (Azure West Europe). Data is not transferred to third countries outside the EU/EEA.

5. Retention Period

Contact data from the form is retained for the period necessary to process your request, maximum 12 months. Text transcripts are not retained on servers (zero retention policy).

6. Your Rights

You have the right to access, rectification, erasure, restriction of processing, data portability, and the right to lodge a complaint with the Office for Personal Data Protection (ÚOOÚ).

7. Cookies

The ANOTE website does not use tracking cookies. Analytics are handled using a privacy-friendly solution without cookies.
